Competition privacy statement
1. Why is the European Commission organising a photo competition on the euro and EMU?
The introduction of the euro in 1999 was a major step in European integration. It has also been one of its most notable successes: around 329 million EU citizens now use it as their currency and enjoy its benefits, which will spread even more widely as other EU countries adopt the euro. The aim of the photo competition entitled 'The euro: What does it mean to us?' is to raise awareness about the euro and EMU among young people and to provide pedagogical support to teachers. The competition is organised within the communication activities of the European Commission.
2. What personal data does the European Commission collect, for what purpose and through which technical means?
Personal data
Via the registration and entrance forms, the European Commission collects for each participating team:
- names of the participants
- date of birth of the participants
- role of each participant in the project
- name of the person in charge of the project
- function of the person in charge (teacher, team leader or parent)
- city/town of the person in charge
- country of the team
- phone numbers of the person in charge
- e-mail address of the person in charge
- details of the school or youth club
The input of each data item is mandatory, for reasons outlined below.
Purposes
The purposes of the registration form are:
- to give the European Commission an idea, a few weeks after the launch of the competition, of the number of people interested in the activity
- to identify those countries where interest seems low and therefore more active promotion is needed
- to be able to contact directly by e-mail the person in charge of a team which has expressed interest in the competition, in order to encourage them to submit a photo
The purposes of the submission form are:
- to identify the final participants
- to be able to contact urgently by phone the person in charge, in case the team has won a prize (hence the need for phone numbers)
- in this case, to be able to organise the trip to the national capital and possibly Brussels, both in terms of date and duration
- to publish the name of the team, name of the person in charge of the team, name of the school or youth club, city and country of the winners on the official website of the competition
Technical means
Personal data are collected by means of the two forms mentioned above, which will be found on the website.
The registration form should be submitted on this website. The photo and the submission form should be submitted by e-mail, express post or express courier.
3. Who has access to your data and to whom is it disclosed?
Designated officials or agents of the European Commission's Directorate General for Economic and Financial Affairs, as well as designated employees of the contractor for the organisation of the competition have access to your data. Your data will not be disclosed to anyone else, except for names and dates of birth which will be disclosed with your permission to travel companies (airlines, hotels, etc.) in case your team wins a prize.
4. How does the European Commission protect and safeguard your data?
Your data are stored in the databases of the European Commission and their contractor, with access protected by passwords and limited to designated Commission officials or agents, as well as designated employees of the contractor for the organisation of the competition.
5. How can you verify, modify or delete your data?
You have no direct access to your personal data stored in the databases. If you wish to modify or delete your data, please send a message to the e-mail mentioned below. Your data will be modified or deleted within five working days.
6. How long will we keep your data?
Your data will be deleted from all the databases within six months after the end of the competition (day of the EU prize-giving ceremony).
